How we handle your information.
Draft for review. This notice will be finalized before launch.
BeaconDesk makes software for appointment businesses such as nail salons and spas (“shops”): an AI receptionist that answers the shop’s BeaconDesk phone line, an online booking page, and the calendar, checkout and records the shop runs on. This notice explains what we keep when you call or book with a shop that uses BeaconDesk, and what we do with it.
When you call a shop
The call is answered by an AI receptionist, and the conversation is transcribed as it happens. If you would rather speak with a person, ask for a callback and the receptionist will pass your request to the shop.
To understand you and answer, the call audio is processed as it happens by our service providers: Twilio carries the call, and OpenAI’s models listen, speak and help look up and make bookings. They handle this information on our behalf under their own terms.
From each call we keep your phone number as shown by caller ID, a written transcript of the conversation, the time and length of the call, what came of it (for example a booking, a change, or a callback request) and any booking it made. We do not keep audio recordings.
When you book online
The booking page asks for your name, your mobile number, the services and time you choose, and anything you add in the note. We use your number only to reach you about your visit. Nothing is charged online; you pay at the shop.
What the shop sees
The shop you call or book with sees your bookings, visit history, call transcripts and any notes it keeps about you, so it can serve you and run its business. Each shop sees only its own customers.
How we use it
- To answer calls, make, change or cancel bookings, and pass callback requests to the shop.
- To keep the shop’s calendar, checkout records and monthly reports.
- To run, secure and improve the service, and to fix problems.
We do not sell personal information, and we do not use it for advertising.
How long we keep it
To be set: how long call records, transcripts and bookings are kept, and what happens to them when a shop stops using BeaconDesk.
Keeping it safe
Information travels over encrypted connections. Access is limited to the shop’s own accounts and to the BeaconDesk team members who run the service, and the data is backed up every night.
Your choices
You can ask the shop, or us, to see, correct or delete information about you. We will respond within a reasonable time and may need to confirm who you are first.
